SUMMARY OF RESPONSIBILITIES: The Oncology Operations Scheduling Manager is responsible for overseeing the planning and performance of the provider and patient schedules for Green Bay Oncology. This position leads the scheduling team and guarantees staff adherence to scheduling guidelines or initiatives and patient service standards. The manager identifies operational problems with the schedule templates and clinic flow and takes immediate and proactive measures to continuously improve the patient experience and management of providers' time. The Oncology Operations Scheduling Manager achieves measured results through people and process and is responsible for expected outcomes. The position acts as a role model and leader within Green Bay Oncology and its hospital partners and executes organizational initiatives across all teams. The Oncology Operations Scheduling Manager is a visionary leader who sees how things can be better and brings innovation and solutions into our business model.
ESSENTIAL FUNCTIONS:
- Serves as one of the managers within the core operations leadership group of Green Bay Oncology and holds self-accountable to leadership competencies
- Leads and supports change and process improvement initiatives, including but not limited to creating standard, efficient, and value-added processes, communicating a clear vision, influencing and motivating others, and developing strong relationships with key stakeholders.
- Leads and supports the financial resource functions of the organization, including but not limited to managing expenses, preparing, monitoring, and executing within limits of the budget or other financial parameters, monitors productivity standards, manages the purchasing process, and any other decisions related to the finances for the area of responsibility.
- Leads a team of colleagues using appropriate human resource management, including but not limited to performance management, education and development, hiring and retention, workforce planning, coaching and counseling, and supporting activities that promote colleague engagement and satisfaction.
- Oversees and leads designated staff to function as high-performing teams.
- Has oversight and leadership over the planning and use of the patient and provider scheduling software programs to achieve accurate schedules and increased stakeholder satisfaction, while ensuring optimal use of resources and minimal need for unplanned or last-minute changes.
- Analyzes and monitors people resource levels, and objectively identifies when changes to the level of resources are needed.
- Utilizes process improvement and change management techniques, tools, and data/metrics to develop and implement detailed action plans to continuously be better.
- Creates metrics, dashboards, reports, or other tools as appropriate or as assigned to ensure comprehensive view of schedules and performance.
- Develops departmental goals, standards, and objectives which directly support the strategic plan or other initiatives of the organization and creates an effective communication plan and execution plan across the team and organization.
- Forecasts staffing needs and provides optimal staffing for work teams in accordance with provided or developed productivity standards.
- Acts as a liaison for the organization across hospital departments, other third parties, and between providers and staff.
- Ensures compliance with standards of care, regulatory, and accreditation requirements to problem solve, critical think, and manage risk.
- Ensures department policies and procedures, goals and objectives, along with department standards are developed as needed and then evaluated regularly to maintain effectiveness and/or meet any regulatory requirements.
- Adheres to the appropriate policies of our hospital partners or other applicable third-party entities.
- Manages applicable contracts and service agreements associated with the oncology service line.
- Provide a safe environment for patients and employees.

QUALIFICATIONS AND EXPERIENCE:
- Bachelor's Degree in nursing or healthcare related field is required.
- Master's degree preferred.
- Minimum of five years of experience in business or healthcare management.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of process improvement methods, tools and resources, i.e. PDCA, SBAR, etc.
- Excellent and effective communication skills with ability to align communication with appropriate audiences.
- Ability to collect and analyze data
- Possess tact, concern for others, objectivity, and the willingness/ability to adapt to change.
- Ability to maintain control and act appropriately during stressful and emergent situations.
- Strong organizational skills and ability to prioritize work.
- Knowledge and understanding of healthcare required rules and regulations, i.e. HIPAA, OSHA, etc.
- Good critical thinking and problem-solving abilities.
- Competent and proficient understanding of computer programs needed to fulfill responsibilities of the role.
